# Core Concepts

> Learn the building blocks of OdontoX — clinics, users, patients, records, and billing — and how they fit together.

OdontoX is built around a few simple ideas. Once you understand them, the rest of the platform is easier to navigate.

## Clinic

A clinic is your workspace in OdontoX. It holds your patients, staff, appointments, records, and billing data. Each clinic has its own settings, branding, and subscription.

If you run more than one location, you can use multi-clinic support to keep each branch separate while managing them from one account.

## Users and roles

Everyone who logs into OdontoX is a user. Each user has a role:

* **Admin** — manages clinic settings, staff, billing, and subscriptions.
* **Doctor** — handles clinical work: patients, appointments, charting, notes, and prescriptions.
* **Receptionist** — manages the front desk: scheduling, patient registration, and payments.
* **Patient** — uses the patient portal to view their own records, appointments, and bills.

A user can belong to more than one clinic, and their role can differ per clinic.

## Patients and records

A patient is anyone your clinic treats. Each patient has a record that includes:

* contact and profile information
* medical and dental history
* appointments
* clinical notes, dental charts, prescriptions, and files
* treatment plans, quotations, invoices, and receipts

Patient records belong to the clinic. Patients can also have a portal account to view their own information.

## Billing and finance

OdontoX tracks money through a simple flow:

* **Quotation** — an estimated cost shared with the patient before treatment.
* **Invoice** — the final bill.
* **Receipt** — proof of payment after the invoice is paid.
* **Installment plan** — when a patient pays over time.

## Modules and the Marketplace

Modules are add-on features you can turn on for your clinic. Examples include WhatsApp messaging, DICOM imaging, insurance claims, and marketing tools.

Some modules are included in your plan. Others are available through the Marketplace and may cost extra.

## Access control

What a user can see and do depends on:

1. Their **role**.
2. The **modules** enabled for the clinic.
3. Any **permission overrides** set for that user.

Admins can adjust permissions for non-admin staff members.
