> ## Documentation Index > Fetch the complete documentation index at: https://q.odontox.io/llms.txt > Use this file to discover all available pages before exploring further. # v1.9 — Odontogram v2, Ruby Autopilot, Credit Notes, People & Payroll, and Enterprise > A complete dental chart rebuild with voice annotation and X-ray attachments, Ruby now answers every WhatsApp conversation automatically with sound escalations, a full credit note and refund system, People & Payroll with HR documents and payslips, a new Enterprise Network Hub for multi-branch organisations, and sweeping improvements to finance, booking, inventory, and clinical workflows. ## Overview v1.9 is the deepest release we've shipped, touching nearly every corner of the platform. **Odontogram v2** replaces the dental chart from the ground up with a professional layered engine, voice annotation, and per-tooth imaging. **Ruby** graduates to true autopilot — answering every WhatsApp thread automatically, alerting your team when a chat needs a human, and (for compatible clinics) speaking with patients over WhatsApp calls. **Finance** gains a complete credit note system with refunds and store credit, invoice quantities, status-tab filtering, and a fully rebuilt invoice workflow. **People & Payroll** adds a kiosk clock-in, Pakistan HR documents, and payslip PDFs. And a new **Enterprise tier** brings multi-branch organisations onto a single Head Office dashboard. *** ## Odontogram v2 — A Professional Dental Chart The dental chart has been rebuilt from the ground up. * **Anatomically accurate.** Every tooth renders with proper surface zones — buccal, lingual, mesial, distal, occlusal — each zone individually clickable and annotatable. Click a zone, mark a condition; the chart updates immediately. * **Voice-driven marking.** Tap the microphone and say "upper left six caries" or "tooth 36 missing." The chart finds the correct tooth in FDI notation and marks it — no external AI cost, no internet required, runs entirely in the browser. * **Per-tooth image attachments.** Open any tooth to attach X-rays or clinical photographs directly to that tooth. Attached teeth show a camera badge on the chart at a glance. * **Auto-save.** Chart state saves automatically as you work. Load a patient and their last chart is right where you left it. * **Clinical PDF report.** Generate a full-colour chart report — a screenshot of the chart plus a per-tooth findings summary — ready to print or share. * **Guided intro tour.** First-time users get a step-by-step walkthrough so the chart makes sense from the first click. *** ## Ruby — Autopilot, Escalations & Voice Ruby is OdontoX's AI receptionist. v1.9 makes it genuinely hands-off. * **Autopilot now means every conversation.** When autopilot is on, Ruby engages every WhatsApp thread — including first-time messages from numbers you've never seen. Brand-new leads and returning patients both get an immediate, informed reply. Ruby steps aside the moment a staff member takes a chat over. * **Escalations that get noticed.** When Ruby hands a conversation to a human — a patient asks for a person, expresses distress, mentions an emergency, or asks something outside Ruby's scope — your admins, reception, and doctors receive a sound alert and a card that stays on screen until someone picks it up. * **Reschedule requests handled correctly.** Ruby now handles reschedule intent by gathering what the patient needs and handing a prepared summary to your team. No more automated slot lists that offered times no doctor was working. * **WhatsApp calling (select clinics).** Patients can now call your WhatsApp Business number and speak with Ruby directly. Ruby greets callers, answers questions from your clinic's knowledge base, and surfaces appointment requests for your team. Enable it under Settings → Communications → WhatsApp. * **Auto-confirm shown on appointment detail.** When a patient taps YES on a confirmation message and Ruby records the confirmation, the appointment detail page shows a clear green indicator so reception doesn't follow up unnecessarily. * **Ruby settings simplified.** The WhatsApp settings page now shows only what clinic staff need — status, the on/off switch, Ruby's mode and knowledge base, and chat appearance. A cleaner page, less to scroll. *** ## Finance — Credit Notes, Invoice Studio & More A complete rebuild of the billing workflow. ### Credit Notes & Refunds * **Issue a credit note against any invoice.** Select the lines you're crediting, adjust the amount, choose whether the procedure was performed or not, and issue either as a **store credit** (held on the patient's account) or a **cash refund** (patient receives cash back, less the early-exit fee your clinic keeps). * **Store credit can be applied on the next invoice.** When creating a new invoice for a patient with store credit, the form shows their balance and lets you apply it in one tap — the amount due updates live. * **Credit notes are real documents.** Open any credit note to view it on screen, download a PDF with your clinic letterhead, or generate a share link to send to the patient. * **Invoice history is complete.** Every credit note issue, void, payment, split, cancellation, quote conversion, and share link event now appears in the invoice activity timeline. ### Invoice Studio * **Line item quantities.** Every invoice line now has a Qty field. The line total updates live as you type quantity × unit price. Works across all billing entry points and on payment plans. * **Status tabs.** Filter invoices by All / Paid / Partial / Pending / Overdue with a live count per tab. Quotations get the same tabs: All / Outstanding / Accepted / Rejected / Expired. * **Newest first + Latest badge.** The invoice list defaults to most-recent-first, and the newest invoice is marked with a "Latest" badge so it's obvious at a glance. * **Delete an open invoice.** Remove a draft or open invoice directly from Invoice Studio with a single confirmation. * **Copy from last.** When creating a new invoice, copy the line items from the patient's most recent invoice to save time. * **Inline discount & tax editing.** Edit discount and tax directly in the Invoice Summary card. * **Installments filter.** The invoice list has a new toggle: All / Installment plans only / Hide installment plans, so per-term installment rows don't clutter your main view. * **Flat Finance navigation.** Financial Hub, Quotations, Invoices, and Receipts are each their own sidebar item — no more collapsing dropdown. * **Watertight invoice splits.** A split installment can no longer be split again; a partially-paid invoice splits its remaining balance (the paid portion stays on the original); amounts always sum exactly to the balance without rounding drift. *** ## People & Payroll — Your Whole Team, One Place Formerly Staff Hub, renamed to reflect what it actually does. * **Clock-in kiosk — no hardware needed.** Set up any tablet or computer as a clock-in station. Staff tap their name, enter their personal PIN, and they're logged. The kiosk only works on your clinic's network, so nobody can punch in remotely. * **Leave management.** Leave types come pre-loaded with Pakistan's statutory defaults — casual, sick, earned/annual, festival, maternity, and unpaid. Edit quotas to match your clinic, record leave requests, and track each employee's balance. * **Pakistan HR document pack.** Generate, preview, print, and file 11 ready-to-use letters: offer, appointment, probation confirmation, warning, show-cause, termination, dismissal, relieving, experience/service certificate, salary certificate, and full & final settlement. Employee details fill in automatically; each issued letter is saved against the employee's record. * **Editable HR forms.** After generating any HR letter, the body text is fully editable — rewrite or fine-tune before printing or filing. Every document renders with your clinic letterhead. * **Payslip PDFs.** Build and issue payslips directly from the People & Payroll module. Select an employee and pay period, enter basic salary, add allowances and deductions, and see net payable compute live. One click generates a branded PDF matching your invoice design; another files it in the employee's record. * **Three payslip print modes.** System Template, With Digital Letterhead, or Physical Letterhead — identical to the invoice print workflow. *** ## Enterprise — Multi-Branch Network Hub For organisations managing more than one clinic. * **Dedicated enterprise instances.** Multi-branch dental organisations get their own isolated OdontoX instance with a Head Office account that sees across all branches. * **Network Hub dashboard.** The org admin lands on a live dashboard — today's appointments, revenue, active branches, and no-show rate aggregated across the entire network, refreshed every minute. * **Branch Management.** All branches listed by city and status. Click a branch in the sidebar to enter it with a full clinic view. * **Cross-network staff view.** Every active staff member across every branch in one table. * **Shared templates.** Publish treatment plan, prescription, WhatsApp, document, and fee schedule templates to all branches from Head Office. Branch staff see inherited templates with an HQ badge. *** ## WhatsApp — Deeper and More Reliable * **YES / NO confirmation buttons.** Appointment confirmation messages now include quick-reply buttons — YES confirms the appointment, NO cancels. Either tap also opens the 24-hour free-form conversation window. Tapping NO is now correctly detected as a cancellation. * **Live Meta billing in analytics.** The WhatsApp Analytics tab shows your actual month-to-date spend pulled directly from Meta's API, alongside a PKR estimate — the previous broken balance field is gone. * **Unknown-number leads appear in the inbox.** Messages from phone numbers that aren't yet patients show in the WhatsApp inbox, labelled with their number, so no enquiry is missed. * **Delivery funnel card.** The WhatsApp dashboard card now shows a visual funnel: Sent → Delivered → Read with progress bars and percentages, a failed-message counter, inbound count, and auto-confirmed appointments. * **Intent breakdown.** The WhatsApp activity card shows three counters: New Inquiries, Reschedule Requests, and Cancellation Requests — detected from message content. * **Automated spend tracked.** Automated messages (reminders, confirmations) are now counted in WhatsApp analytics spend. Previously only manually sent messages were billed. *** ## Clinical Workflow * **Click to book from the calendar.** Click any time slot in the day view to open the appointment form pre-filled with that time, snapped to your clinic's configured interval. The "Add appointment" button on an empty day defaults to the next available slot after now (today) or opening time (future days). * **Appointment status nudge.** When you open an appointment detail, a smart banner prompts you: confirm an upcoming appointment (blue), or mark a past one as no-show (amber), with a note if a WhatsApp message will fire. * **Auto no-show detection.** When reception opens the appointments page, any appointment 15+ minutes past its start time still showing as unattended is quietly marked no-show, and the WhatsApp automation fires automatically. * **No-show from any status.** Any pending appointment — scheduled, confirmed, or in-progress — can now be marked no-show. * **Enter age instead of date of birth.** The patient form now has a toggle to enter age in years when the exact birth date is unknown. * **AI After Preview shared across the clinic.** The monthly image-generation allowance is now a single pool for the whole clinic. The card shows usage on load: used / limit / remaining. *** ## Inventory * **Suppliers hub.** Suppliers now have their own tab under Settings → Clinical Catalogs. Add, edit, and delete vendors independently of your dental labs list. * **Items linked to multiple suppliers.** Each inventory item can be associated with more than one supplier, so you can track every vendor the item can be sourced from. * **Receive stock from the right supplier.** The receive-delivery dialog loads your saved suppliers and defaults to the item's primary supplier, so every receipt is recorded against the correct vendor. *** ## New Landing Page & Sign-In * **New public site.** Built around a no-show payback calculator — visitors enter their daily appointment count and no-show rate and see exactly what empty chairs cost them annually, and how OdontoX recovers that revenue. The WhatsApp section animates through its three steps as auto-advancing cards. * **Redesigned sign-in.** Clean centred card on an animated aurora background, with a light/dark theme toggle on the page. Your theme choice carries straight into the app and sticks across sessions. * **Noticeably lighter first load.** A 3D/WebGL background engine (\~1.9 MB) removed, the PDF engine lazy-loaded, the landing video only downloads when it scrolls into view. Initial JavaScript dropped from \~1.1 MB to \~860 KB. * **Pre-rendered for search engines and AI assistants.** The landing page is built at deploy time so search engines and AI assistants can read the full page, with FAQ structured data added. *** ## Reliability & Polish Several underlying improvements and fixes make the daily experience calmer and more predictable. Invoice numbering is now gap-safe and rewind-proof. Emails render correctly in both light and dark mode. Dark-mode toggles are clearly readable. Sidebar modules no longer blank during brief network hiccups. Toast text on appointment actions is accurate. Lab case list and appointment booking show correct doctor and patient names. Doctor names in the booking form no longer prefix "Dr." twice.
