Trial and Billing — What To Expect

Every new clinic starts with a 14-day free trial. This guide explains the countdown banner, the 24-hour grace period after expiry, what happens if you do not upgrade in time, and how to upgrade when you are ready. Nothing in this flow happens overnight without you knowing.

Why we built this

Before this work, the trial expired without warning. Receptionists and doctors had no idea the clinic was on a trial at all. The moment of expiry was the moment the clinic discovered it. We rebuilt the trial and the suspension flow so every signed-in user can see exactly where the clinic stands.

The trial countdown banner

Every signed-in user at a trial clinic sees a banner at the top of the app. The colour tells you the urgency at a glance:
  • Neutral when you have more than 7 days left.
  • Amber when 7 days or fewer are left.
  • Red when 3 days or fewer are left.
Admins have an Upgrade now button on the banner. Doctors and receptionists see the banner but not the button — filing a request from a non-admin seat would just be noise.

How trial and billing dates work

  • Trial expiry stores as 23:59:59 Pakistan time on the date you were promised. A trial “ends May 31” lasts until the end of May 31 PKT — not midnight UTC the night before.
  • “Today’s revenue” and “today’s appointments” on the dashboard also use the Pakistan calendar day, so what you see on the dashboard matches what you actually did between 9 AM and 9 PM PKT.

The 24-hour grace period

When your trial reaches its expiry date, OdontoX does not lock you out immediately. A 24-hour grace period kicks in. During the grace period:
  • You can still sign in and work as normal.
  • The countdown banner turns red and the message changes to “trial ended — 24 hours to renew before access is paused”.
  • Admins can submit an upgrade request from the banner without an urgent call to support.
If you upgrade within the grace window, the lock never happens — your clinic flips straight from trial to active.

What happens if you do not upgrade

After the 24-hour grace:
  • The clinic moves to paused. Existing data is not deleted. Nothing is touched on your charts, your photos, your invoices, your patient records — everything stays exactly where it is.
  • The admin receives a polished email letting them know access has been paused, confirming that nothing has been deleted, and offering a free demo with onboarding and staff training.
  • Sign-in for paused clinics returns to the start of the flow with a clear “access paused” message.
  • The clinic remains paused until you complete an upgrade. Whenever you are ready, the admin can submit an upgrade request and access resumes once the invoice is paid.
We pause; we do not delete. We do not call. We do not pressure. The choice is yours and the door is open.

How to upgrade

  1. As an admin, click Upgrade now on the trial banner. Or open Settings → My Billing and tap Upgrade.
  2. Pick the plan you want — Pro or Pro+. Submit the request.
  3. Our team reviews the request and issues an invoice. The invoice arrives by email and is also visible in Settings → My Billing → Invoices.
  4. Pay the invoice. You have four payment options:
    • Scan-to-pay bank QR on every invoice. Point your bank’s app at the QR.
    • Bank transfer using the IBAN printed in the Payment Instructions block.
    • EasyPaisa to the account number on the invoice.
    • JazzCash to the account number on the invoice.
  5. Once the payment lands, your subscription activates. The first time you sign in after activation, a one-time welcome toast says “Your plan is now active — Welcome to [Plan]!” and links to the billing tab.

A note on emails

Both the trial-ended email and the access-paused email use the new branded layout — centered logo at the top, no repeated wordmark in the body, written in first-person plural (“we have paused…”). If something feels off about the timing of an email you received, check Settings → Notifications to see the matrix that governs every operational send, and the audit log for the exact send record.

How to use it

  1. As an admin, glance at the banner every morning. The colour tells you how urgent the situation is.
  2. If amber, open Settings → My Billing this week.
  3. If red, upgrade today. The grace period is a buffer, not a habit.
  4. If you have already upgraded and the banner is still showing, refresh the page — the activation toast may have fired in another tab.
