A credit note reverses part or all of an invoice. You can use it when a procedure was not performed, a payment was recorded in error, or you need to refund a patient. Who can do this: Admins and Doctors (with finance permission).

Issue a credit note

  1. Open the invoice you want to credit.
  2. Click Issue Credit Note.
  3. Select the invoice lines you want to credit.
  4. Adjust the credited amount if you are only partially crediting a line.
  5. Choose whether the procedure was performed or not. This affects how revenue is reported.
  6. Choose the credit type:
    • Store credit — the amount is held on the patient’s account and can be applied to a future invoice.
    • Cash refund — the patient receives cash back, less any early-exit fee your clinic keeps.
  7. Review the live preview and click Issue.
The credit note appears in the invoice activity timeline, and you can view it on screen, download a PDF, or share it via a public link.

Apply store credit to a new invoice

When you create a new invoice for a patient who has store credit:
  1. The invoice form shows the available store-credit balance.
  2. Click Apply Credit to use it.
  3. The amount due updates automatically.
Store credit cannot be applied to invoices generated from a quotation or invoices on a payment plan.

Void a credit note

If you issued a credit note by mistake, open it and click Void. Voiding reverses the effect and restores the invoice balance.
