The receptionist dashboard is the front desk’s home screen — everything the desk needs to run the day on one page, with Ruby reading the day ahead and the day’s loose ends so nothing slips through. This guide is the receptionist seat’s daily reference; for the booking flow itself, see /guides/appointments.

The four sections

The dashboard is organised top to bottom so the most time-sensitive things are highest.
  • At a glance. A KPI strip across the top — the headline numbers for the day so you know where things stand the moment you sign in.
  • Needs attention. Pending appointment requests waiting for confirmation, sitting next to Ruby Insights so the things that need a decision are grouped together.
  • Quick actions. Four shortcuts — Schedule, Register, Finance and Inventory — so the jobs you do dozens of times a day are one click from the home screen.
  • Today’s schedule. Today’s appointments alongside the day’s pending payments. Today’s Appointments paginates 15 per page, so a busy day stays readable.

Ruby Reception Cockpit

Ruby sits across the dashboard as your front-desk co-pilot. It surfaces priorities, flags the appointments that need a little prep, and helps you close the day out cleanly.
  • Day Brief. A card at the top that greets you by name and lays out the day’s priorities — patients to confirm, balances to collect at the desk, and no-show risks worth a quick call. When there is nothing to act on, the card stays hidden rather than showing an empty box.
  • Prep hint on each appointment. Every appointment row in Today’s schedule can carry a one-line prep hint — for example a missing doctor, a first-visit consent to collect, an outstanding balance, or a no-show risk — so you spot what to handle before the patient is standing at the desk.
  • Wrap up day. An end-of-day checklist of the day’s leftovers: visits still in confirmed (not yet completed), completed visits with no invoice raised, and missed appointments to call back. Clear them in one click with batch close. Note that Wrap up day will not close an appointment that has no doctor assigned — assign a doctor first, then close it.

Ruby Insights that take you straight there

Ruby Insights action items deep-link to the exact record they are about. Click an item and you land on the specific appointment, the specific patient, or a pre-filtered inventory list — no hunting for the row Ruby was talking about.

How to use it

Open the dashboard

It is the front desk home screen. Scan At a glance for the day’s headline numbers.

Read your Day Brief

Ruby greets you by name and lists who to confirm, what to collect and which no-shows to call. If there is nothing to do, the card is hidden.

Clear Needs attention

Confirm pending requests and work through the Ruby Insights beside them. Click any insight to jump straight to the record it names.

Use Quick actions

Jump to Schedule, Register, Finance or Inventory without leaving the page.

Work Today's schedule

Run down today’s appointments — watch the prep hint on each row — and take the day’s pending payments. Page through 15 appointments at a time.

Wrap up day

At close, open the end-of-day checklist and batch-close the leftovers. Assign a doctor to any appointment that needs one first.
