If a staff member can see something they should not, or cannot see something they need, check the following.

1. Role defaults

Each role has a default permission set:
  • Admin — all permissions
  • Doctor — all except Manage inventory
  • Receptionist — cannot view or edit clinical records, cannot manage lab cases
Check: Go to Settings → Staff Management and look at the staff member’s role. Fix: Change their role if the default set is wrong for their job.

2. Per-user overrides

Admins can override individual permissions for a staff member. These override the role defaults. Check: Open the staff member’s profile and scroll to the Permissions section. Look for toggles that differ from the role default. Fix: Toggle the permission on or off as needed. Changes take effect on the staff member’s next page load.

3. Module not enabled

A permission only works if the related module is enabled. For example, Manage inventory does nothing unless the Inventory module is installed. Check: Go to Marketplace and confirm the module is installed. Fix: Install or request the module.

4. Changing a role resets overrides

When you change a staff member’s role, their permissions reset to the new role’s defaults. Any custom overrides from the previous role are removed. Fix: After changing a role, re-apply any needed overrides.

5. Plan restrictions

Some permissions unlock features that are only available on higher plans. For example, AI Insights permissions require the Pro+ plan. Check: Go to Settings → Subscription. Fix: Upgrade if needed.
