Inquiries from your clinic website land in one place instead of getting buried in a personal inbox — convert a lead to a patient record in one click and track who still needs a callback. We built this because too many “I filled in the form on your website and nobody called me back” stories ended with the form pointing at a personal Gmail address that got missed.

What’s new

  • Forms on your clinic website post to OdontoX. Point your “Contact Us” form, your “Book an appointment” form, or any other inquiry form on your website at a single OdontoX URL with a per-form token. Inquiries arrive instantly.
  • The Website Leads inbox in Settings. Each lead carries name, email, phone, optional date of birth and a message. They are ordered newest-first.
  • Convert to Patient in one click. Pick a lead and tap Convert to Patient. OdontoX creates the patient record with the lead’s details pre-filled. From there you can book the first appointment with Save & Book.
  • A pipeline status for every lead. New, contacted, converted, archived, spam. Front-desk staff can mark each lead as they work through it, so nobody falls between two cracks.
  • Per-form tokens. A main contact form, an appointment-booking page and a careers inquiry can each have its own token. You can see at a glance which form a lead came from.
  • An origin lock and a rate limit. Each token only accepts submissions from the website domain you list, and only at a sensible rate. If a token leaks, the abuse stays out of your inbox.
  • An optional auto-reply email. Turn it on per form to send the patient a polite acknowledgement the moment they submit.

How to use it

Open Settings → Website Leads

Navigate to the leads inbox.

Add a form

Give it a name (for example, “Contact Us — main site”), the URL of the page it lives on and the email domain it should accept submissions from.

Copy the form URL and token

Hand them to whoever maintains your website. The form’s action and a hidden token field are all that needs to change.

Save a test submission

From your website. The lead appears in the Inbox tab within seconds.

Work through the inbox each morning

Click any lead to open the side panel; pick Convert to Patient when you are ready to bring them onto the chart, or set the status to Contacted, Archived or Spam as appropriate.

What changed since the last revision

  • This is a brand-new module. There was no previous version to compare to.
  • The first place an admin used to ask about lead capture was “we put a form on our website and route it to a personal email” — that workflow is no longer necessary.
